Corporate Paralegal and Office Specialist

Location: Springfield, MO

Job Summary:
We are seeking a Corporate Paralegal and Office Specialist to join our team.

The Corporate Paralegal and Office Specialist will play a dual role, providing legal support to the company’s operations and managing day-to-day office administrative functions. This position requires a proactive individual with strong organizational skills, legal knowledge, and the ability to multitask in a fast-paced environment. The successful candidate will work closely with management, legal counsel, and project teams to collaborate on contracts, agreements, and legal documents while performing various office tasks as assigned.

Salary: $26-28 per hour.

Responsibilities:

Paralegal Duties

  • Draft, review, and manage contracts, agreements, and other legal documents related to corporate projects, vendor agreements, and customer contracts.
  • Assist in ensuring compliance with federal, state, and local regulations, including labor laws, safety standards, and industry-specific requirements.
  • Conduct legal research on topics such as permits, licensing, zoning regulations, and environmental compliance to support project planning and execution.
  • Prepare and organize legal documents, such as subcontractor agreements, ensuring accuracy and adherence to company standards.
  • Collaborate with external legal counsel as needed while maintaining accurate records and correspondence.
  • Identify potential legal risks in contracts or projects and escalate issues to management or legal counsel as needed.
  • Track and manage deadlines for legal filings, permits, and certifications to ensure timely submissions.
  • Maintain a database of legal documents and ensure proper version control for all agreements and amendments.
  • Assist in preparing reports for regulatory audits or compliance reviews.
  • Support the negotiation process by preparing summaries of contract terms and conditions for management review.

Office Specialist Duties

  • Maintain organized filing systems (both digital and physical) for legal documents, project records, and administrative files.
  • Assist with basic bookkeeping tasks, such as processing invoices, tracking expenses, and coordinating with the accounting team for payroll or budgeting needs.
  • Manage and complete vendor prequalification packages, which includes collaboration with multiple functional departments to compile the necessary data to complete.

Qualifications:

  • Associate's or Bachelor's degree in Paralegal Studies, Business Administration, or related field.
  • 2+ years of experience as a paralegal, preferably in a corporate or construction related environment.
  • 2+ years of experience in office administration or a similar role.
  • Strong understanding of legal terminology, contract drafting, and compliance requirements.
  • Strong analytical and problem-solving skills.
  • Excellent organizational and time-management abilities.

This is a Part-Time Role. The standard workweek will be 15-20 hours per week.

This position requires the ability to interact with employees verbally and in writing, remain in a stationary position for 80% of the workday, have close visual acuity, and constantly operate a computer and other office productivity equipment, such as a phone, copy/fax/scan machine, computer keyboard and mouse with or without reasonable accommodation. This position also requires the ability to occasionally lift, stoop, bend, and lift office products and supplies, up to 20 pounds.
